THE LEDGER / ANCHOR HOUSE
Accounting & Books
Financial clarity for every agent, closing and brokerage obligation—inside Anchor House.
Production Accounting Readiness
Replacing Xero requires matching real bank statements and opening balances, verifying accountant access, and signing off the migration. Bookkeeping features are available; cutover is not yet approved.
PRIVATE ACCESS
Accountant sign in
Sign in using the account your broker has approved. This is separate from agent and client logins.
Need access? Ask the Anchor House broker for a private accounting invitation. Access may be revoked at any time.

Automatic Bank Connections
Connect Anchor House operating accounts through Plaid when provider credentials are configured. The feed stages transactions for review; it does not transfer funds, post journal entries, or reconcile statements automatically.

Imported Feed Activity
Provider changes to already imported entries are flagged here. Pending, removed, or unresolved items cannot be added to a statement.
Plaid reads account transaction data after consent. It cannot make payments through this workflow. CSV imports remain available in the existing Banking tools.
BANKING / MATCHED GENERAL LEDGER
Bank Reconciliation
Import actual bank statement CSVs and match each transaction to a posted journal cash movement. No bank passwords or account numbers are stored here. Finalization requires the bank statement, matched transactions and posted cash balance to agree.

Finalize Reconciliation
A statement will be locked only after every line is matched and the posted cash ledger agrees with its closing balance.
PURCHASING / REIMBURSEMENTS
Purchasing & Expenses
Review orders before buying and record out-of-pocket business expenses with controlled reimbursements.
Purchase Orders
Itemized estimates, quote references, reviewer approval, and optional matching to an approved Vendor Bill.
Showing the most recent 400 records. Older purchase orders and expense claims require a separate archival review.
Out-of-Pocket Expense Claims
Employee, agent, broker, and contractor claims require supporting evidence and independent approval.
ASSETS / MONTHLY BOOK DEPRECIATION
Fixed Assets
Keep a capital asset register and post controlled straight-line book depreciation against verified existing journals.
Capital Asset Register
Asset costs must come from posted books. A draft asset does not alter the ledger.
Review Capitalization
Allocation is limited to the remaining amount debited to Fixed Assets. This is not evidence that a bank has paid the vendor.
EXCEPTIONS / CORRECTIONS / VERIFIED SETTLEMENTS
Accounting Controls
Bank-verified reimbursements, payment-provider exceptions, and reviewed capital asset disposals.
Verified Reimbursement Settlements
Approved claims / actual imported bank debitsApprove a reimbursement in Purchasing & Expenses first. Then match the actual debit imported from the company's bank statement here. This action never sends money.
Refunds, Chargebacks & Payment Exceptions
Processor-verified events only; no refund actionWhen Stripe reports an actual refund or dispute, an accounting exception is created. Record the provider documentation and link an independently approved, balanced journal adjustment. The No Refunds policy does not suppress chargebacks or required corrections.
Capital Asset Disposals
Verified proceeds or zero-proceeds write-offDisposal requires a separate reviewer, up-to-date book depreciation, and supporting evidence. Asset sales require an actual imported positive bank deposit from a current draft statement. Book gains and losses are not tax depreciation or IRS recapture calculations.
Recorded Disposals
Some control registers are capped for performance. Narrow and export transactions in Financial Reports before relying on complete historical totals.
VENDOR ACCOUNTS PAYABLE
Bills & Expenses
Create itemized bills, submit them for accounting review, and record only payments verified against imported bank statement debits. Payables and expenses post as balanced journal entries.

ACCOUNTING MIGRATION / COMPLIANCE
Replacement Validation
Cutover Requirements
Never retire Xero based only on a balanced empty ledgerXero Trial Balance Comparison
Read-only migration verificationExport a Trial Balance from Xero as CSV. Use Account Code, Account Name, Debit, and Credit columns, with nonnegative dollar amounts. The system compares each account against the posted Anchor House general ledger; it never imports an accounting entry or marks migration complete.
Comparison History
HISTORICAL DATA / CONTROLLED MIGRATION
Xero Migration Workbench
Stage historical exports, test their control-account balances, and request independent verification. Historical imports never create operating invoices, vendor bills, bank transactions, or journal entries.
3. Staged Exports & Independent Review
Independent Cutover Evidence & Signoff
Reviewable proof for Xero migration, live payment validation, backups, tax and security. Evidence is current for 90 days and requires two separate approvers.
Select this tab to load the latest approval records.
Important: The evidence register records staff attestations; it is not a backup service, real bank reconciliation, automated malware scan, or accountant's audit opinion. Xero retirement requires a separate final decision after all objective checks pass.
DISASTER RECOVERY / XERO CUTOVER
Disaster Recovery Lab
Compare an isolated database restore with a cryptographic source fingerprint, independently verify private document recovery, and retain accountant and broker approvals.
Open Replacement Validation to inspect the recovery workflow.
1. Source Fingerprints
A read-only signature of 21 accounting data sections, including registered private receipt metadata. It identifies data drift; it does not save a copy of your books.
After capturing a source fingerprint, create an actual backup using your approved recovery process. Capture and backup must represent the same intended data state.
2. Isolated Restore Procedure
- Take a supported source backup or choose an existing one. Record the backup reference and recovery timestamp.
- Restore the database to a different, isolated project. Never overwrite production.
- Run the fingerprint query below in that recovered project's SQL editor and compare the result against the source baseline.
- Restore the private Storage objects separately; compare every registered file's SHA-256 and bytes, then restore and download a separate test canary.
- Submit the workpaper for independent accountant review and broker signoff.
Supabase documents: Database backups and restore to a separate project.
3. Independent Restore Drills
Mismatched database checksums or failed document checks remain Failed. Matched results are still only reported evidence until the independent accountant and broker sign off.

ACCOUNTANT SECURITY / RECORDS RETENTION
Security & Retention Center
Control accountant sessions and preserve private financial supporting documents with independently reviewed legal holds.
Minimum retention: seven full calendar years after each document's upload year. Extending the deadline is allowed; reducing it or deleting the file record is blocked. A legal hold prevents scheduled disposition, and releasing a hold never deletes a file. This is a policy control, not a legal opinion.
File safety: Each upload enters private quarantine. Downloads require a scanner-verified clean SHA-256 match; failed or unscanned files stay blocked. Checking scanner readiness… An isolated database-and-Storage restoration has not yet been verified.

Attach Accounting Evidence
Select an existing expense claim, purchase order, capital asset, or processor exception. For security, all uploads require an authenticated accountant, broker, or authorized record owner.
Retained Financial Evidence
Verified-clean files can be downloaded. Files awaiting a scan, failing a scan, or identified as malware remain quarantined.
Showing the most recent 250 documents only. Additional files may exist in private storage.
ACCOUNTING / DOCUMENT STUDIO
Financial Document Center
Generate professionally formatted PDF workpapers, business financing packets and property acquisition files from the same verified ledger used by the Broker Dashboard. Every run is dated, versioned, hashed and recorded in the private accounting audit trail.
Generate a Financial Document
Choose the required document. Incomplete source records are highlighted instead of being made up. No money moves, and nothing is sent to a lender without your action.
Evidence Still Needed
Record creditor-by-creditor obligations so lender packets can include existing balances, monthly debt service, interest rates, maturity and collateral. These items are informational only, are not automatically entered into the general ledger, and are never treated as bank-verified without original lender statements.
Build a proposed sources-and-uses statement for business loans or purchasing property through the company. The system calculates a funding gap and illustrative monthly principal-and-interest payment, based solely on assumptions you enter. It never initiates a credit inquiry, sends an application or guarantees loan qualification.
